Finance Administrator

Part Time - 15-20 hours/week *Flexible schedule*
(based on experience & availability)

General Description

Vista Community Church is seeking a part time Finance Administrator. The primary purpose of this role is to ensure the accuracy of Vista’s financial data and to handle the ongoing accounting tasks of the church so that Vista functions effectively, efficiently and with integrity. This position will have somewhat flexible office hours and opportunities for remote work.

Reports to: Executive Pastor

ROLE & RESPONSIBILITIES

Contributions &  Income

  • Record deposit receipts weekly from contributions (Tuesday)

  • Provide giving statements to contributors as needed.

  • Manage the Giving Secretary as they record donor contributions on a weekly basis

Accounts Payable

  • Process payment for all check requests / invoices

  • Receive and file all necessary W9’s

  • Process and send all 1099’s at year end

  • Help to watch for anomalies in our regular monthly transactions

Bookkeeping and Data-Entry

  • Using accounting software and finance team members, maintain a general ledger of expenses and revenue, balance sheet and other needed accounting data-points.

  • Create and maintain Chart of Accounts.

  • Complete month-end and year-end close procedures.

Reporting

  • Provide ministry budget reports to department leads and work with leaders to insure accurate classification of expenses.

  • Create monthly finance report for Staff/Elder/Finance Team use and observation.

  • Create and run donor reports in order to identify trends in giving patterns and other contributor research as requested by church leadership.

Payroll

  • Manage payroll for church staff ensuring funds are transferred and payroll data is entered each pay period

  • Manage time-sheet process for part-time employees.

  • Ensure that the monthly, quarterly, and yearly payroll tax forms, W-2, and necessary deposits are timely filed (utilizing our automated payroll service or manual methods).

Financial Reconciliation and Review

  • Reconcile online giving transactions between Planning Center Giving, Focus Missions, & Square.

  • Manage credit card transaction reconciliation, verifying receipts have been submitted for all transactions, review to ensure submitted receipts are appropriate, resolve questions that may arise or reclassify when needed.

  • Reconcile Bank Statements, Accounts and Fund Balances.

Preferred Education/Experience

  • A degree in Accounting or Finance

  • 3-5 Years of experience in accounting/finance in a church, non-profit or business environment

  • Active CPA Status is a plus
